Hugely dynamic global Mining/Engineering firm based in state of the art offices in Mayfair are currently recruiting for a an experienced, confident, proactive, professional Executive Assistant/PA to support at Vice President level including the CEO, CFO and Head of HR.. You will join a thriving global firm with over 130,000 employees across multiple offices with a focus on multi-million sustainable projects, the mining division consists of 30 all very experienced Engineers, Project Consultants, specialist Contractors, Finance and Operations.

You will be I.T. savvy (ideally Advanced on all MS Office packages, able to update PowerPoint presentations to clients on behalf of the Founder with last minute changes/requests) business and client focused.

The role offers hybrid working with four days in the office and one from home. You will receive a generous benefits package and excellent performance bonuses which could equate to an additional £6,500 to your annual salary. Offices have just been newly refurbished and in a great location in the heart of Mayfair.

You will join a professional team of Engineers, Project Managers and Contractors who are more heads down and succinct in their communication style yet respectful and professional therefore the ideal candidate will be used to this dynamic and preferably have working in Mining/Engineering a similarly more heads down culture.

Key duties

• Acting as the CEO’s advocate and conduit requiring a thorough understanding of business functions/personal preferences, to enable the most effective decision-making.
• Managing multiple diaries and inboxes.
• Extensive UK and international travel management including multi stops with detailed itinerary, arranging valid Visas and processing all expenses.
• Analysing conflicting priorities and planning personal workflow to complete projects in a timely manner.
• Organisation of internal and external meetings and conference calls, video and web conferences
• Preparing/modifying/proofreading documents, producing/updating reports/spreadsheets
• Initialising the annual financial calendar for the Management Team, ensuring all dates correspond with the financial market and coordinating Team Annual Leave.
• Organising and attending Executive meetings, drafting/distributing Agendas; taking/distributing Minutes; monitoring the implementation of Action Points.
• Event management including budget, venues, accommodation, delegates, arranging speakers, workshop and entertainment.
• Financial administration including petty cash, expenses and account reconciliation.
• Supporting HR procedures by organising internal recruitment interviews and administrating the staff holiday system for VPs.
• Assisting in quarterly business review meetings.
• Be completely up to date with projects being undertaken by VPs and GM.
• Maintain knowledge of the key issues facing the industry sector/functions of the VPs.
• Ad-hoc requests such as organisation of business dinners / lunches, arrangement of couriers, taxi bookings, resolution of IT issues, printing, binding, filing important documentation, reporting Facilities issues such as faulty printers and management of outgoing and incoming post, archiving.
• Dealing with Research and other service provider contracts.

Experience/Education Specifications

• 3 – 5 years’ experience as an EA/PA at similar level.
• At least a Degree level or equivalent.

• Calm professional manner and able to work well under pressure.
Working Conditions

Full time role with working hours: 9am – 6pm, Monday – Friday (one day working from home).  Contact outside working hours.

Dress Code: Business wear (casual Fridays).
